Office Manager (m/f/d) – Luxembourg Office
The Luxembourg office was established in 2023 and aims to grow to 9–10 people over the next year. It was created with the intention to render domiciliation, management, accounting and tax services to more than 80 SPVs. In that context, it is envisaged to bring in-house the accounting/finance tasks (previously handled by a service provider).
We are looking for an office manager, who will play a key role in supporting the MDs finance and legal to build up this addition to the DBAG network.
These tasks await you
- Playing a key role in the setting up of the Luxembourg office in close coordination with the MDs finance and legal
- Responsible for the general operation of our Luxembourg office
- First point of contact for all administrative issues of the Luxembourg office
- Liaising and coordination of external stakeholders (including but not limited to notaries, couriers and vendors)
- Front of house duties (including answering incoming calls and taking care of mail, etc.)
- Responsible for office supplies and inventory
- Planning, preparation and coordination of meetings
- Arranging of national and international business travel and management of travel expenses
- Preparing and editing of powerpoint presentations
- Keeping track and administration of expenses of the office
- Assisting with other ad hoc administrative projects as necessary
- Working with the MDs finance and legal to establish strong processes in the Luxembourg office
- Acting as a key member of the Luxembourg office and working with the MDs finance and legal to ensure the smooth running of the office
Skills and experience we are looking for
- Min. five years of work experience as an office manager, team or personal assistant
- Very good knowledge of MS office, preferably CRM. IT- savvy, interested in searching for solutions that simplify working life
- Fluent in English and French, German as a plus
- Well organized hands-on attitude and ability to multitask
- Understanding of the importance of confidentiality
- Strong communication skills and service awareness
- Strong team-player, interested to establish relationship with colleagues in the various offices
- Solution orientated and enthusiastic
- Ability to bring in new ideas
- Ability to prioritise effectively and work autonomously
- Self-starter and open personality
